Increase Efficiency to Gain Control of the Hours in Your Day
So Much To Do So Little Time How many times do you get to the end of your workday and wonder where the time went? Or, you’ve driven from point A to point B and you don’t remember the drive? These are signs of a need for time management in your day. You may have tried different methods for time management or organization in your business. You want to get your arms around everything that you have to do but when you look at your situation, it is so overwhelming that you don’t know where to start. It might even be so overwhelming that you decide not to start at all because it’s too much work. I’ve been there. More than I’d like to admit. As an entrepreneur I am a creative person. I don’t like to spend time doing administrative work. When you run a business you probably find that you prioritize based on whatever emergency pops up. Also, work comes at you from all directions. These experiences affect the stress of our days and how we care for our customers. I want to share my knowledge ofhow to reduce the overwhelm. Delegate – This is the hardest step to take but it is the first, best step you can take to alleviate the amount of time you are spending on things that someone else can do for you. In these articles, I will write about the time value of money. When you determine the value of your time, you will quickly learn the value of delegating. Things to consider delegating are home maintenance such as home cleaning, landscaping, grocery shopping, and organizing. Work delegation can come in the form of hiring an associate care manager who can do those everyday things where your skills are not required. Running errands for clients, driving client’s to appointments, shopping for clients, and even shopping for things you need in the business. On the JewelCode web site I will be expanding on each of these ideas with ways that you can specifically implement them. Schedule Time Blocks – When you set up your schedule, set up very specific time blocks. Even though a lot of thework you do falls in the crisis column, you still will benefit from setting up a clear schedule. Go over each day of your week and schedule a time block for each thing that is a priority on your list. Put in your specified client appointments, first. Put in your accounting tasks, marketing work, and any other business activities which are required to run your business into set spots on your calendar. Remember, that your goal is to plan out all of your specific tasks into set spots on your calendar and to plan to follow that set schedule. Once you have everything blocked in your schedule then you should take 30 minutes, the first thing, every morning and review your schedule for the day. Look at each in the schedule and plan what you want to accomplish from each thing. This will help you stick to the schedule and be prepared for your day. Your day is not going to go according to the perfect schedule you have set but when you have a set schedule and you do your best to stick to eachthing in the schedule you will usually be able to get things done in a timely manner. Your schedule should be the one thing that you lay out and stick to as much as you can. Exercise– As crazy as your days seem, putting set exercise on your schedule is very important. Exercise holds so many benefits for stress relief. 30 minutes of exercise each day will help clear your mind. I even find that when I’m stuck on how I should handle something in my business or I’m stuck trying to figure out a solution to a particular client issue, that 30 minute exercise, clears my mind and when I get back in my office, I feel clear and ready to focus again on the tasks in the schedule. For me, it’s not about the physical benefits as much as the mental benefits. I can’t recommend this enough if you need to become clear and reduce your daily stress. Go Radio Silent – When you sit down to address your scheduled items, every imaginable distraction will try to pull you away from it. That is the nature ofbeing an entrepreneur. So, you have to take control of that. Go Radio Silent means that you put your phone on Do Not Disturb, you close your office door, you don’t open Facebook, you are in control of your time. Of course, for this to work correctly it means that you have put time in your schedule that is specifically designated for phone calls, Facebook, employee assistance, and other things that will try to distract you. When you block out the distractions, you will get things done faster. Why? Because you will be focused on your tasks. Self Discipline – Of course, none of the above works if you are not disciplined about it. In today’s world, everything is coming at you. If you can’t stop the flow and get your arms around it then it will always carry you along in the ebb and flow. Taking the set time each day to organize your schedule and making sure that you follow it as much as you can will increase your efficiency. All of this is nothing without self-discipline. Acceptance – Themost empowering part of this plan is acceptance. Realizing that you simply cannot do everything yourself, realizing that you cannot possibly do everything that you set as an expectation, realizing that some of the things you “think” you should do are really not in your best interest or are not going to forward you to your specific goals in life. Acceptance becomes okay if you look at your life and decide what your main priority and focus should be. And, once you know this, you measure every decision against that main priority to see if it really fits in line with your plan. Acceptance is also key to recognizing that you really are not in control of everything. We want to be and we catch ourselves constantly trying to be but when we “let go” and realize that we can’t control it all, that is when we are most in control of our plan. We are doing what we can do to move forward and letting the other things that are holding us back or slowing us down, go. We are good enough and we arefocused and facing forward!
